Attached is a Draft copy of the modified Incident Reporting Procedure for discussion before it is issued to the club. Please read it and we can talk about it on the Zoom.

Incident Reporting & Medical Expense Claims Procedure

On the day:
☐ Make the scene safe
☐ Provide first aid within your competence
☐ Arrange evacuation or ambulance if required
☐ Record names of witnesses
☐ Note time, location, weather, and track conditions
☐ Take photos of the injury (with patient approval)
☐ Take witness statements after patient is stable or evacuated.
After the activity:
☐ Complete Incident Report as soon as practical (within 24 – 48 hours is recommended)
☐ Include clear, factual description of what happened
☐ Attach photos, maps, or witness statements if available
☐ Email report to Club Secretary
☐ Club Secretary to email copy to Bushwalking Victoria
3. What Happens If I Am Injured on a Club Activity?
If you are injured on a club activity, the walk leader will complete an Incident Report. This is a routine safety record and does not automatically mean an insurance claim is required.
If you later need medical treatment and have expenses not covered by Medicare, your Private Medical Insurance and Ambulance Insurance, you may be eligible to claim some costs through the Bushwalking Australia insurance program. It should be noted that Bush Walking Victoria (BWV) insurance is an insurance cover of last resort, meaning all other sources of insurance should be claimed upon prior to claiming BWV insurance. The Club Secretary can provide you with a copy of the claim form and help you with the process, but the claim is lodged by you.
4. Who Is Responsible for What?
Activity Leader:
- Manage the incident on the day
- Complete and submit the Incident Report
Injured Member:
- Decide whether to lodge a claim
- Complete the Personal Injury Claim Form
Club Secretary:
- Keep incident records
- Complete club declaration for claims
- Support members through the process
Medical Practitioner:
- Complete medical section of claim for Insurer:
- Assess and process claims

This meeting will include a refresher to members on what to consider when going on a walk, an update on some planned website improvements and a Q &A session. Supper will then follow.
